How to reduce no-shows and protect your schedule
A no-show is one of the most frustrating losses in a service business, because it's a slot you held, drove to, or turned other work away for, and it produced nothing. Unlike a lost lead, you can't even tell yourself they went with someone else. They just didn't show. A few of these a week quietly eats a real chunk of your income, and most of them are preventable.
The biggest cause of no-shows is simple forgetting. The customer booked in good faith, then life buried the appointment. They didn't decide to skip it, they just lost track. Which means the highest-return fix is also the simplest: remind them. A reminder the day before and again the morning of catches most of the honest forgetters and turns would-be no-shows into kept appointments.
Make the reminder easy to act on. Include the date, time, and what to expect, and give them a simple way to confirm or reschedule. Counterintuitively, making it easy to reschedule reduces total lost time, because a customer who can quickly move an appointment they can't make will do that instead of just ghosting you. A rescheduled job is still your job. A silent no-show is gone.
For higher-value work, consider a deposit or a card on file. It doesn't have to be large. Just enough that the customer has a little skin in the game and treats the appointment as a real commitment. People show up for things they've put money toward. Be upfront and reasonable about it, and most good customers won't blink, while the flaky ones self-select out, which is fine.
Pay attention to patterns, too. If a certain type of booking, time slot, or lead source produces most of your no-shows, that's useful information. Sometimes the fix is a firmer confirmation step for those, or a different way of qualifying them up front. You're not trying to be harsh, you're trying to protect the hours you have to sell, because those hours are the whole business.
The reason no-shows persist isn't that owners don't know reminders work. It's that sending a reminder to every booking, every day, is exactly the kind of small repetitive task that slips when you're busy doing the actual jobs. Automating confirmations and reminders so they go out reliably is a quiet, unglamorous win. Cadrey can handle that as part of managing your bookings, so your calendar fills with people who actually show up.
